Filtering and Sorting Users
Access to Manage Users
Only Admin users with full access and Account Owner users are able to manage user profiles.
The Users screen (accessed by going to the Profile icon ( ) > Manage Users) includes a filter bar, sortable columns, and pagination to help you find users quickly.
Filter Bar¶
The filter bar appears above the Users list when there is more than one user. Use it to narrow the list by status, activity, access, and more.
To reset all filters and clear the search field, click Clear Filters. This button appears only when a filter is active.
Default filter settings
When the filters are cleared, they reset to their defaults: all fields return to "All", except Current Status, which resets to "Active".
Click here to view the filter options.
| Filter | Options |
|---|---|
| Current Status | • All • Active • Inactive |
| Last Activity | • All • Inactive for more than 3 months • Inactive for more than 12 months • Pending Activation |
| 2FA | • All • Enabled • Not Enabled |
| Roles/Permissions | • All • Admin • Account Owner • Leave Admin • Billing Only • Approval Only |
| Access | • All • Full Access • Restricted Access |
| Search | Searches by: • Company name • Name Searching by company name returns: • Full Access users (who can access all companies) • Users restricted to that company • Users restricted to multiple companies that include it |
Affiliation filter
If the Enable User Affiliation box is ticked in Account Settings, an Affiliation filter also appears in the filter bar, with options: All (default), Internal, External, and Not Specified. "Not Specified" includes all pre-existing users who have not been assigned an affiliation.
Sorting¶
Most columns support sorting. Click a column heading to cycle through three states: ascending, descending, and default. The default sort is Date Created (newest first).
Sorting by affiliation
If the Enable User Affiliation box is ticked in Account Settings, the Affiliation column is also sortable. Clicking the column heading once sorts ascending (Internal → External → Not Specified); clicking again sorts descending (Not Specified → External → Internal).
The Users List¶
The list includes the following columns:
| Column | Description |
|---|---|
| The user's email address. | |
| Name | The user's name. |
| Last Activity | The date of the user's most recent activity. |
| 2FA? | Indicates whether the user has 2-Factor Authentication enabled. |
| Date Created | The date the user was created. This is the default sort column. |
| Roles/Permissions | Displays "Full Access" for unrestricted users, "Restricted to: [company list]" for restricted users, or "Deactivated" for deactivated roles. If a restricted user has access to multiple companies, click the "X companies" link to view the full list. |
Affiliation column
If the Enable User Affiliation box is ticked in Account Settings, an Affiliation column also appears in the table, after Date Created. It displays Internal, External, or Not Specified for each user.
Pagination¶
The list shows 10 users per page. A "Showing 1 to X of Y entries" counter and Previous / Next buttons appear at the bottom of the list. Applying any filter resets the list to page one.
Filtering, sorting, and searching all operate across the full dataset, not just the current page.
